Answer the Practical Questions, Leave the Advice to Your Advisors

Clients message about meeting times, the kinds of cover you arrange, renewals and claims, often outside office hours. A Flowlines agent answers the practical questions on WhatsApp, Instagram and your website, takes quote, meeting and claim-help requests, and hands every question about a policy, plan, claim or money to an advisor.

What Fills an Advisor's Inbox

  • Quote and meeting requests come in on WhatsApp and the website, and some wait days for a reply.
  • Renewal dates live in a spreadsheet and are sometimes noticed too late.

What a Conversation Looks Like

Your agent uses your own office details and follows the rules you set — it never comments on a policy.

  1. CustomerHi, my car insurance renews next month. Does my policy include roadside assistance?
  2. Flowlines agentThanks for the message. I can't answer questions about what a specific policy includes — your advisor will go through it with you. Would you like a call or a meeting before the renewal?
  3. CustomerA call is fine. Weekday evenings.
  4. Flowlines agentI've passed your request for a weekday evening call to your advisor. They'll reply here to confirm a time.

Your AI agent: Advisor assistant

Answers practical questions about your office hours, the kinds of cover you arrange and how meetings work, from your business profile, takes quote, meeting and claim-help requests, and hands every question about a policy, plan, claim or money to an advisor.

Automations (9)

Each one starts off — you switch it on.

  • Reply to quote and meeting requestsWhen the quote request form is filled in, confirm on WhatsApp, to the number on the form, that the request was received. The new contact appears in your pipeline for an advisor to follow up.
  • Advisor meeting reminderReminds the contact a day before the time in their Advisor meeting field. Your team fills in Advisor meeting when confirming the slot.
  • Policy renewal reminderAbout 30 days before the date in the Policy renewal date field, send the client a short status note on WhatsApp naming the policy type, and remind the advisor to review the renewal with them. Your team fills in Policy type and Policy renewal date when the policy starts or renews; if Policy type is empty, only the advisor task is created.
  • Reply to claim-help requestsWhen the claim help form is filled in, confirm on WhatsApp, to the number on the form, that the request was received. The contact appears in your pipeline at Claim support for an advisor to pick up. Nothing says whether a claim will be paid. Note: the form moves an existing client to Claim support; moving them back to Policy active afterwards starts the review request again, so skip that client or turn the review automation off while a claim is open.
  • Quote follow-up taskTwo days after a contact is moved to Quote shared, remind the advisor to follow up and answer questions. Sends nothing to the contact. Your team moves the contact to Quote shared when the quote goes out.
  • Review request after a policy startsA week after a contact is moved to Policy active, and only if they are still there, ask clients who opted in to WhatsApp updates for a review of the service. Your team moves the contact to Policy active when the policy is issued. A client moved back to Policy active after Claim support is asked again. Lawyers and licensed advisers: check your regulator's rules on advertising and client reviews before turning this on.
  • Alert the team when a contact is waitingIf a message has had no reply for 15 minutes, leave a note that @mentions the assigned teammate, or flags it as unassigned. Never reassigns.
  • Follow up when a contact goes quietIf your last message in a WhatsApp conversation has had no reply for a day, send one check-in (an approved template, since the 24-hour chat window may have closed) during daytime hours. Stops if they reply.
  • Reply to new enquiry formsWhen someone fills in your enquiry form, confirm on WhatsApp, to the number on the form, that you have it. The new contact appears in your pipeline for the team to follow up.
